Summary:
Provides executive-level administrative support to the Executive Vice President and Chief Financial Officer. Coordinates highly confidential and sensitive information, manages complex scheduling and logistics, and serves as a key liaison between internal and external stakeholders, including senior leaders, Board members, and trustees. The Executive Assistant anticipates needs, prioritizes competing demands, and facilitates the efficient operation of the CFO's office.
Serves as a primary point of contact for guests visiting the executive suite and collaborates with the executive assistant team to ensure a professional and seamless experience.
ESSENTIAL DUTIES- The percentage of time spent performing essential functions is 95%. Qualified individuals must have the ability (with or without reasonable accommodation) to perform the following duties:
· Manages complex executive calendars, coordinates travel arrangements, prepares correspondence, processes expenses and invoices, tracks contracts, and oversees meeting logistics.
· Builds and maintains effective working relationships with leaders across Penn State Health and Penn State College of Medicine, serving as a trusted liaison in resolving administrative issues on behalf of the Executive.
· Independently prioritizes competing demands, exercises sound judgment, and ensures timely completion of projects and assignments in a fast-paced environment.
· Independently addresses routine matters, redirects inquiries to appropriate leaders, and escalates issues when executive involvement is required.
· Greets and assists guests visiting the executive suite.
· Supports executive suite operations, including mail distribution, deliveries, office organization, and supply management.
· Provides backup support for other executives as needed.
KNOWLEDGE, SKILLS & ABILITIES
· Demonstrates exceptional written and verbal communication skills with the ability to interact professionally with executives, Board members, physicians, and external stakeholders.
· Possesses strong organizational, prioritization, and project coordination skills.
· Exercises discretion and sound judgment when handling sensitive and confidential information.
· Proficiency in Microsoft Office applications
· Works effectively as part of a highly collaborative executive support team.
MINIMUM QUALIFICATION(S):
• Associate's degree or equivalent experience
• Five (5) years of executive support experience
PREFERRED QUALIFICATION(S):
- Experience supporting Sr Financial Leadership
