The selected candidate will work directly with the Pediatric Clerkship Director and Pediatric Associate Clerkship Director. The administrative secretary will provide administrative and programmatic support for the Pediatric Clerkship Program. The administrative secretary is responsible for daily program coordination, management of all clerkship functions, and acts as the primary liaison between faculty, staff, and students. Essential Duties and Responsibilities include scheduling medical students, physician assistants, and other learners in each 4-week slot/rotation; recording and setting up evaluations within the OASIS web evaluation; record-keeping of completed clerkship clinical activities; coordinating didactic lectures for the medical students; reviewing visiting student applications to approve them for invitations to rotate at Penn State Health Children’s Hospital; closely monitoring rotations to avoid overbooking. In addition, prior to the start of each clerkship rotation, this role is responsible for sending orientation and systems training information to Penn State Health students prior to their start date.
High School Diploma or GED required.
Post high school education or equivalent experience, plus at least 2 years of related experience required.
Proficient skill level of office software and computers, with strong application of general office support functions required.
Advanced written and verbal communication skills.
Ability to coordinate and be accountable for multiple tasks required.
High level of confidentiality required.
Preferred Microsoft Proficiency Level: Word: Intermediate; Excel: Basic; PowerPoint: Intermediate.
